Your privacy matters to us

Vettadex is a reputation management service. We necessarily handle sensitive personal information to do our job. This policy explains exactly what we collect, why we collect it, how we protect it, and what rights you have over it. We do not sell your personal data. Ever.

Vettadex LLC ("Vettadex," "we," "us," or "our") is a Maine limited liability company operating the online reputation management platform at vettadex.com. We are the data controller responsible for your personal information under this Privacy Policy.

How we use your information

We use your information for the following purposes:

Providing the Service: Scanning the internet for information about you, calculating your reputation score, submitting removal and opt-out requests on your behalf, and delivering reports
Account management: Creating and maintaining your account, authenticating your identity, and communicating with you about your account
Payment processing: Processing subscription payments and managing billing through our payment processor Stripe
Customer support: Responding to your questions, troubleshooting issues, and providing technical assistance
Service improvement: Analyzing usage patterns to improve our platform, fix bugs, and develop new features
Legal compliance: Complying with applicable laws, regulations, and legal processes
Security: Detecting, preventing, and responding to fraud, abuse, and security incidents

We will not use your personal information for any purpose other than those described in this Privacy Policy without your explicit consent.

How we share your information

We do not sell, rent, or trade your personal information to third parties. We share your information only in the following limited circumstances:

Service providers: We share information with trusted third-party vendors who help us operate the Service, including Supabase (database), Stripe (payments), and Resend (email delivery). These providers are contractually bound to protect your information and use it only to perform services for us.
On your behalf: We share your name and relevant personal identifiers with data broker sites, search engines, and platforms when submitting opt-out requests or removal notices on your behalf. This is the core function of the Service you have purchased.
Legal requirements: We may disclose your information if required to do so by law, court order, or governmental authority, or when we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, or investigate fraud.
Business transfers: In the event that Vettadex is acquired, merged, or sold, your information may be transferred as part of that transaction. We will provide notice before your personal data is transferred and becomes subject to a different privacy policy.
With your consent: We may share your information with third parties when you have given us your explicit consent to do so.

Data retention

We retain your personal information for as long as necessary to provide the Service and fulfill the purposes described in this Privacy Policy, unless a longer retention period is required by law.

Active accounts: We retain your data for the duration of your subscription
After cancellation: We retain your account data for 90 days after cancellation, after which it is permanently deleted unless you request earlier deletion
Scan history: Scan results and findings are retained for the life of your account and deleted upon account closure
Financial records: Billing and payment records are retained for 7 years as required by applicable tax and accounting laws
Legal holds: If your information is subject to a legal hold or investigation, we may retain it for longer periods as required

Data security

We implement industry-standard security measures to protect your personal information from unauthorized access, disclosure, alteration, and destruction. These measures include:

Encryption of data in transit using TLS 1.2 or higher
Encryption of sensitive data at rest
Password hashing using industry-standard algorithms
Access controls that limit employee access to personal data on a need-to-know basis

California residents (CCPA)

If you are a California resident, the California Consumer Privacy Act ("CCPA") grants you additional rights regarding your personal information.

Categories of personal information collected: Identifiers, personal information as described in California Civil Code Section 1798.80, internet or other electronic network activity information, and inferences drawn from this information.

We do not sell personal information. As such, we do not offer a "Do Not Sell My Personal Information" opt-out because we do not engage in such sales.

Vettadex is based in the United States and our Service is intended for use by residents of the United States. If you access the Service from outside the United States, your personal information may be transferred to, stored, and processed in the United States, where our servers are located.

By using the Service, you consent to the transfer of your information to the United States. We will ensure that any such transfers comply with applicable data protection laws.

Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. We will notify you of material changes by posting the updated policy on our website and sending an email to your registered email address at least 14 days before the changes take effect.
